Verification of identity and property ownership
Acceptable Documentation in Accordance with Money Laundering Regulations 2017
As with all estate agents, Romans & Partners is subject to the Money Laundering Regulations 2017. This requires us to obtain and retain identification and proof of address for all clients. Additionally, we are required to establish whether there are any beneficial owners acting on behalf of others in a transaction or activity. Therefore, we may ask you to identify any individuals considered beneficial owners. Where relevant, we may also request documentation confirming the source or destination of funds. Without this information, we will be unable to proceed with any work on your behalf.
Below is a list of acceptable identity documents. We require original or certified copies of all documentation. Based on individual circumstances, Romans & Partners may liaise with you to request further or alternative documentation.
Romans & Partners requires one document from List A and one from List B.
List A – Identity Document
- Current signed passport
- Valid UK driving licence
- EEA member state identity card
List B – Proof of Address
- UK/EU/EEA Driving Licence (if not used as ID)
- Must be valid, not expired, photo only, full or provisional.
- Bank, Building Society, or Credit Union Statement
- Dated within 3 months; must include account number and recent activity.
- Credit Card Statement
- Dated within 3 months; must include account number and recent activity.
- UK, EU, EEA Mortgage Statement
- Dated within 12 months; must show account number.
- Utility Bill
- Dated within 6 months, e.g., gas, electricity, water; must show service address.
- Telephone Bill
- Dated within 6 months, landline or mobile pay monthly; must show address.
- Council Tax
- Dated within 12 months; must show address.
- Tenancy Agreement
- Dated within 12 months; issued by a reputable letting agent.
- Benefits Entitlement Letter
- Dated within 12 months; must confirm benefit payable.
- HMRC Tax Notification
- Dated within 6 months; must state national insurance number.
- Home or Motor Insurance Certificate
- Dated within 12 months; must state insured address.
- UK Solicitor’s Letter Confirming House Purchase
- Dated within 3 months; must state full name and property address.
- NHS Medical Card or GP Registration Letter
- Dated within 3 months; must state date of birth and NHS number.
- Electoral Register Entry or Poll Card
- Dated within 12 months; must state full name and address.
- Police Registration Certificate
- Dated within 12 months; must state residential address.
- Grant of Probate (if a will exists) or Letter of Administration (if no will)
- Identity evidence from List A & B for the Personal Representative
- Certificate of Incorporation
- Articles of Association
- Memorandum of Association
- Latest Annual Return or Confirmation Statement, detailing company officers
- Identity evidence from List A & B for individuals/entities with 25%+ shares or voting rights
- Certificate of Incorporation
- Articles and Memorandum of Association, Latest Annual Return with officer details, or Share Certificate(s) showing Ultimate Beneficial Owner OR Certificate of Incumbency
- If shares are held by another company, repeat documentation for the holding company
- Nominee director declaration and/or Power of Attorney (if applicable)
- Identity evidence from List A & B for individuals/entities with 25%+ shares or voting rights
- Trust Deed
- List of Trustees
- List of Beneficiaries
- Identity evidence from List A & B for individuals with a vested interest in 25%+ of the capital or those exercising control over the Trust
